POSITION DESCRIPTION

 
Position: Administration Assistant
Location: NP Office
Employment type: Part time, ongoing
Reports to: Practice Manager
Direct Reports: Nil
Performance review period 6 monthly

Purpose of the role:

The administration assistant will provide administration support within the firm. The
administration assistance is responsible for smooth day to day operations of the office. The position is central to providing profession service to our clients, and ensuring the office runs smoothly.

Key Areas of Responsibility:

 
Area Description
Reception and Office
  • Answer phones/emails in a professional manner
  • Taking messages accurately and ensure they are passed on in a timely manner
  • Prepare and process correspondence
  • Maintain office supplies by altering when supplies need to be restocked
  • Ensure printer is maintained (paper stocked, toner levels)
  • Ensure Client records are scanned and saved timely and accurately
  • Continually build and nurture client and potential client relationships
  • Assist with debtor follow up
  • Ensure office process are followed, and provide recommendation for improvements
Common area and
amenities management
  • Ensure meeting rooms are kept to standard
  • Ensure kitchen is kept tidy
 
  -     Ensure office supplies are stocked by altering when
supplies need to be restocked
Meetings
  • Set up Client meetings in the calendar
  • Greet Clients and offer refreshments
Document collation and processing
  • Collate documents (Financial and General Reports)
  • Send for signing
  • Ensure documents are saved correctly
  • Follow up unsigned packs
Client relationships
  • Sending out documents to Clients
  • Follow up Clients to collect documents
Training and Development
  • Attend all scheduled training
  • Have good knowledge of the firm’s systems and
processes and be able to identify the appropriate resources to apply them
Leadership and teamwork
  • Work as an effective team member, sharing information and providing peers with assistance
  • Communicate effectively with all staff members,
clients and management
Targets -     Accurately complete timesheet daily



 
Qualifications: -     Certificate in Office Administration, or equivalent
Skills:
  • Understanding of MS Office
  • Strong communication and relationship management skills
  • Attention to detail
Experience -     Minimum 3 years experience in professional office
