Administration Assistant | IT Team

5-Month Contract | Immediate Start | Melbourne

Are you a highly organised administrator who thrives in a fast-paced environment and enjoys keeping operations running smoothly behind the scenes?

We're seeking an experienced  Administration Assistant  to join a well-established organisation on an initial 5-month contract. While sitting within the IT function, this role is far more focused on  coordination, procurement, financial administration, reporting, and stakeholder engagement  than technical IT support.

This is an excellent opportunity for someone who enjoys variety, can manage competing priorities, and takes pride in delivering exceptional administrative support.

The Role

Working within a collaborative and busy team, you'll play a key role in supporting day-to-day operations by coordinating processes, managing administration activities, and ensuring requests are actioned efficiently.

Key responsibilities include:

  • Raising and managing purchase orders

  • Processing invoices and assisting with reconciliations

  • Supporting contract renewals and vendor administration

  • Managing contractor onboarding and offboarding activities

  • Monitoring timesheets and related approvals

  • Coordinating requests through shared team mailboxes

  • Preparing reports and maintaining accurate records

  • Supporting procurement and expenditure tracking

  • Updating information across multiple systems

  • Liaising with internal stakeholders and external suppliers

About You

To be successful, you'll bring:

  • Previous experience in an Administration, Coordination, Operations, Procurement, Finance Support, or IT Administration role

  • Experience processing purchase orders, invoices, contracts, or supplier-related documentation

  • Confidence working with ERP or workflow systems such as SAP, PeopleSoft, ServiceNow, or similar

  • Intermediate Microsoft Excel skills

  • Strong attention to detail and organisational skills

  • Excellent written and verbal communication

  • The ability to manage multiple priorities and work autonomously

  • A proactive and adaptable approach to problem-solving

Highly Regarded

  • Experience working within technology, telecommunications, infrastructure, or corporate services environments

  • Exposure to vendor management, contract administration, or renewals

  • Experience supporting geographically dispersed teams
