Job Title: Office Manager
Location: St Kilda Road
Reports to: Partners
Direct Reports: Administration Team

Role Overview
The Office Manager is responsible for the effective day-to-day operation of the firm, overseeing administration, office facilities, payroll coordination, accounts administration, compliance, and firm-wide processes. This role ensures the office runs efficiently, staff are supported, and operational and regulatory obligations are met.

Key Responsibilities
Office & Administration Management
  • Manage and oversee the administration team and workload allocation
  • Recruit, onboard, and support administration staff
  • Act as the key liaison between Partners and staff
  • Manage building and office maintenance, including liaising with suppliers and contractors
  • Coordinate office fit-outs and workspace changes
  • Manage staff seating arrangements and work-from-home logistics
  • Handle general employee and Partner requests
  • Manage office parking arrangements
  • Oversee projects relating to the firm and administration team
  • Organise firm-wide functions including EOFY events, Christmas functions, and group activities
  • Coordinate gifts for Partners, staff, and clients
  • Implement, document, and maintain office processes, systems, and procedures
  • Organise and maintain tracking of Tax Banter and related initiatives

Accounts Payable
  • Allocate payments including credit card, cheque, and EFT transactions in MYOB and maintain accurate invoice records
  • Process Partner and firm-related invoices
  • Pay all firm invoices and allocate costs across relevant spreadsheets
  • Maintain financial and administrative spreadsheets
  • Perform regular banking tasks and reconciliations

Payroll & HR Administration
  • Coordinate onboarding and exiting of employees
  • Provide recruitment administration support
  • Process employee payroll accurately and on time
  • Manage superannuation payments
  • Prepare and lodge payroll tax and IAS
  • Maintain payroll and HR records and spreadsheets

Annual & Compliance Responsibilities
  • Prepare and maintain Fringe Benefits Tax (FBT) backup documentation
  • Complete TFN reporting requirements
  • Perform annual payroll reconciliation
  • Manage CA & CPA renewals
  • Renew Professional Indemnity and Office Insurance
  • Renew Tax Practitioners Board (TPB) registration
  • Complete CA questionnaires
  • Manage CGU insurance renewals
